When you start a survey in the Assessment application, you usually go through several phases. The number of phases may vary depending on the survey. The percentage shown within a phase indicates how many of the questions have been answered. When all questions have been completed, the progress bar reaches 100% and the phase can be closed. Once a phase is completed, the answers can no longer be changed. Therefore, only finalize a phase when no further additions or adjustments are needed.
The phases are as follows:
1. Fill in
In this phase, you complete the questionnaire, either individually or together with colleagues.
Be sure to attach supporting documents and reports as evidence. This allows the reviewer to immediately see whether all requirements have been met. When the progress bar reaches 100%, you can complete the inventory phase and invite a self-assessor.
2. Self-assessment
In this phase, you ask a colleague to review the completed questionnaire. In the case of a small organization, you may perform this step yourself. If any comments or shortcomings are identified, you can reopen the relevant question and adjust the answer. Once this has been done, the self-assessor can review the question again and complete the phase.
3. Internal audit
The internal audit is a mandatory phase within the CO₂ Performance Ladder and ISO standards.
An independent party checks whether all requirements are met. During this phase, each question is reviewed and the supporting evidence is examined. A question can be accepted, or improvement points or deviations (critical or non-critical) may be identified. In such cases, the question can be reopened and the answer updated. Sometimes, questions are also scored, providing an overview in a score table to check whether enough points have been achieved. After the internal audit, a summary can be added.
4. Management review
The management review is also a mandatory phase for the CO₂ Performance Ladder and ISO standards.
In this phase, you invite a member of management to approve the completed questions.
This serves as a digital signature from management, confirming their approval of the proposed measures and objectives.
5. Certification
Although certification can be carried out within SmartTrackers, most certification bodies perform this process outside the system. They do have access to SmartTrackers measurements and assessments, but the audit itself takes place externally. Certification therefore forms the final step of the process.
