Import via the import function

It is possible to import data into the system via a csv file. With large data sets, this can be a fast method of data processing.

These are the steps to take::

Step 1: create import format

The type of import format can be selected via the Export function. Export an Import format, so that the basic configuration is already there.

Please note that the format that is being imported can only contain one period. So if you have quarters, semesters and years ads periods, yuou need to create three separate .cvs files.

Step 2: Adjust the import format

A choice must be made between importing via the identification code, or the characteristics of columns B to F. If an identification code is used, then these must be specified for the meters in the system. These values can then be found in column A. At that time, columns B to F can be deleted. However, if it is being done without a code, column A must be removed.

Step 3: Insert the data to be imported

The column s1 2019 shown in the example can easily be adjusted to the desired import period. For example s1 2020. It is also possible to read in data from several years. Then simply place several columns in a logical sequence.

Note: The system overwrites existing data in the database, as long as it is still in Concept. The moment the data is released for approval and the value in the import file is the same as the value that was already there, the value is ignored and the import continues. If the value is different and the value is released in the database, the import will be aborted.

Step 4: Save/export to .csv file

After the file is ready, the spreadsheet must be saved as/exported as a .csv file. Important: make sure that the thousandths separator is turned off in your spreadsheet application. At database level this separator will be read as a comma, which will lead to a failed import.

Step 5: go under Settings (only available for managers) to Gauge imports.

The .csv file can now be imported into the application. There are various controls in the import function. If errors are found, this is explained further. You can open the error log of a failed import by clicking on the Creation date of the import (first column).

Step 6: Check the end result

Imported data via the import function remains in Concept. Check the values ​​and submit them per observation or with the bulk function. From the on it is no longer possible for a registrar to adjust the data and it can no longer be overwritten with the import function.
